Read Guidelines for Publications

Publications Approval Process

Publications prepared for distribution to any external audiences (including students) require approval if:

  • They are paid for by Georgia College or with money processed through the university, such as grant or contract funds, or through the university’s Foundation.
  • They provide information about university programs, personnel or activities.
  • They publicize projects co-sponsored by Georgia College and other groups (such as professional organizations, community agencies and/or other educational institutions), even if the publications are not paid for with university funds.
  • They use any logo or associated mark belonging to Georgia College.

As part of the Graphic Identity Program, the university requires that all publications aimed at external audiences be routed through the Publications Approval Process. A yellow Publications Approval Form must accompany each publication for approval, and the form must have two signatures when it is brought to University Communications: (1) the department chair or others who leads the office which originated the publication and (2) the dean or director who supervises the office which originated the publications. (For the purposes of this program, students are considered an external audience. However, some publications aimed at students are exempt from the approval process. They are listed below.)

What needs approval
The following publications must be routed through the Publications Approval Process:

  • Academic calendars
  • Advertisements
  • Announcements
  • Annual reports (for public distribution)
  • Banners
  • Billboards
  • Brochures
  • Catalogs
  • Fact Sheets
  • Fliers
  • Forms
  • Event programs
  • Informational booklets
  • Magazines
  • Newsletters
  • Postcards
  • Posters
  • Promotional or recruitment materials
  • Reports (for public distribution)

What doesn’t need approval
Publications produced by students, such as the student newspaper and notices of student activities do not require approval. However, any usage of the university logo and marks must conform to the standards of the Graphic Identity Program.

The following items are also exempted from the approval process:

  • Advertisements for employment (These must be approved by Human Resources.)
  • Business cards (must adhere to standard formats in this publication)
  • Class materials, notes, tests
  • Faculty publications
  • Faculty reports
  • Internal (within a single department or office) publications
  • Invitations
  • Letterhead (must adhere to standard formats in this publication)
  • Letters
  • Memos
  • Programs for internal audiences
  • Surveys for internal audiences
  • Scholarly papers, journal articles, monographs, books, theses, dissertations
  • Student publications
